Brightlines and brightlinestranslation.com are the trading name and website owned and operated by Brightlines Translation Limited.

This notice explains what personal information we collect about translators and freelance suppliers who register or work with us, how we use it, and your rights under applicable data protection law.

Brightlines Translation Limited is the data controller. We are based in Bath, UK, and work with translators and language professionals across the UK, EU and worldwide.

This notice is separate from our website privacy policy, which covers clients and general website visitors.

What information we collect

When you register with us, we collect:

  • Full name, address, email address and phone number
  • Bank details for the purpose of making payment
  • CV, qualifications, language pairs and areas of specialism
  • Tax details including UTR number and VAT number where applicable
  • Work samples or references you provide as part of the registration process
  • LinkedIn profile or other professional online presence you share with us

Once you begin working with us, we also hold:

  • Project history and details of jobs completed
  • Rates and pricing agreed with you
  • Availability and capacity information
  • Performance notes and quality feedback relating to your work

How we use your information

We use your information to:

  • Assess your suitability for projects and match you to relevant work
  • Communicate with you about projects and assignments
  • Process payments for completed work
  • Meet our legal and tax obligations
  • Maintain records of work completed and quality delivered

Our legal basis for processing your data

We process your personal data on the following grounds:

  • Contract – to engage you, assign work and make payment
  • Legal obligation – to meet our tax and financial record-keeping requirements

Who we share your data with

  • Our accountants or financial software for payment and tax purposes

How long we keep your data

We keep your personal data for 6 years after the date of your last project with us. This is in line with standard UK requirements for retaining contract and financial records.

After that period, your data will be securely deleted. If you would like us to delete your data before then, please contact us and we will let you know what we are able to do given our legal obligations.

Your rights

Depending on where you are based, you have a number of rights over your personal data.

If you are in the UK or EU, under UK GDPR and EU GDPR you have the right to:

  • Access the personal data we hold about you
  • Ask us to correct inaccurate data
  • Ask us to delete your data (subject to our legal obligations to retain certain records)
  • Object to how we are using your data
  • Request that we restrict processing of your data in certain circumstances

Complaints

We may update this notice from time to time. When we do, we will update the date below. If we make significant changes, we will let you know directly where we hold your contact details.
